📑 Understanding & Setting Up Contract Groups
When setting up a contract in Tone, you must assign it to a Contract Group. This group determines the "who" and "when" of your royalty runs, allowing you to process statements in batches rather than one by one.
💡 The Logic Behind Groups
Contract Groups give you the flexibility to handle different accounting needs simultaneously. Common ways to use them include:
- Accounting Frequency: Create groups for different schedules, such as "Monthly," "Quarterly," or "Semi-Annually."
- Priority Levels: Set up a "Priority" group for your top-tier artists to ensure they are processed first, and a "General" group for everyone else.
- The Default Method: If you plan to generate all statements at the same time (e.g., everyone gets paid quarterly), you can simply use a "Default" group.
🛠️ How to Create or Edit a Group
You can manage these groups on the Contracts page of the Contracts & Catalog tool.
- Enter Contract Details: Input the contract name, link the Payee, and select their role.
- Assign the Group: In the Contract Group field, you can select an existing group (like "Default") or create a new one.

- Creating a new one: To create a new group, click on the Details panel next to the contract name, and click Add contract group. Then enter the group name, select the reporting frequency and click Add item.

- Editing/Deleting: You can rename a group or delete it entirely from the same menu. If you delete a group, remember to reassign those contracts to a different group, as every contract must belong to one.

Tip: On the main contract view, you can filter the contracts by group to quickly see which artists are assigned to which schedule. Just click on the filter icon in the top row of the sheet!

The groups you create will dictate your workflow when it comes time to run royalties:
