A workflow is a set of steps Toni follows when you ask for it by name. If your team repeats the same job — comparing a distributor's track list with your catalog, setting up a batch of costs, checking new releases before a royalty run — you can save the steps once and run them any time, instead of explaining the job to Toni from scratch.

Workflows are shared across your company: anyone on your team who can use Toni can see, run, edit, and delete them.

📋 Opening the Workflows panel

  1. Open Toni.
  2. Click the Open workflows icon (a list with check marks) at the top of the Toni panel.
  3. The Workflows panel lists every workflow your company has saved, with its name, the page it starts on, and a one-line description.

If your company hasn't saved any yet, you'll see No workflows yet.

💾 Saving a workflow

There are two ways to save one.

Option 1: Ask Toni to save it (recommended)

The easiest time to save a workflow is right after Toni has finished a job the way you wanted.

  1. In the same conversation, ask Toni something like "Save this as a workflow called Monthly STEM check."
  2. Toni writes out the name, description, page, and the full numbered steps in the chat, based on what actually happened in the conversation — including any corrections you made along the way.
  3. Read it carefully and tell Toni if anything should change. Toni will read the corrected version back to you.
  4. When it looks right, approve the save. Toni confirms the name you can use to run it next time.

Tone Tip: Saving after the job is done works better than describing it up front. The corrections you gave Toni along the way ("no, use the STEM tab," "check with me before importing") are exactly the details worth keeping.
