Follow this end-to-end guide to upload your sales files, build reusable templates, and prepare your data for analytics and royalty processing.

✍️ Getting Started

Upload a Sales File

  1. Click on “Upload Sales”

  2. Browse your computer to select one or more sales statements to upload.

    Accepted file formats: .xls, .xlsx, .tsv, .csv, and semi-colon delimited documents (1GB file size limit, no file count limit)

  3. Click “Upload”

  4. The files will show up in Tone with the status: Needs Info.

Select the File Source & Report Date

  1. Use the dropdowns to assign a Source and Report Date for each file. This information places the file in the Timeline view, which generates a unique row for each distinct File Source and File Source Subcategory combination.

    1. Source is the company that originated the statement. This can be a distributor, licensing partner, or DSP (Digital Service Provider).
      1. Source Subcategory (Optional): An additional classification dimension for granularity, useful if you receive multiple statements from the same source.
    2. Report Date is the time period for which the sales statement was created, typically the month you received the statement and corresponding payment. This may differ from the sales dates reported in the file.

    For company-centric tracking, use distributors or platforms as your File Source. For client-centric tracking, use client/artist names as your File Source and distributors or platforms as Subcategories.

The Details Panel

Once the File Source & Report date are added, access the file's Details panel to view all sheets detected in the file (even if a sheet has been hidden in the raw file, it will be detected by Tone).

  1. Review all sheets in the file.
  2. Click Ignore to disregard any non-relevant sheets.
  3. For sheets containing sales reporting detail, click "Get Started" to enter the Template Builder view.

File Statuses

  1. Once you’ve added the Source and Report Date, Tone will begin processing the file. The status will change to Auto Matching.
  2. If you’ve previously uploaded and processed a file from this source, and the format/column headers have not change, Tone will apply the same column mappings, rules, and conditions.
    1. If there are new invalid values to map (territories, configurations, distribution channels), the file status will change to In Progress. When you open the Details panel, the tab status will be Needs Validation.
    2. If there are no new invalid values to map, the file status will change to Auto Ready.
  3. If the file format/column headers have changed or if this is a new source, and Tone is unable to auto-match to an existing set of rules, the file status will change to In Progress and you can follow the sales file processing steps outlined below.
