🤔 What’s a Template?
- In Tone, a template is a set of rules, conditions, and mappings that are applied when processing a sales file, turning your Original Data into Cleaned Data ready to use in a royalty calculation.
- A template can be re-used and applied to other files.
- Templates are stored at the individual file level. If you make any changes to the Cleaned Data, those changes will only be applied to the current file you’re working in.
- Once you’ve finished making edits, you can then manually copy the template setup to other files.
- If you have not already begun processing the other files, Tone will attempt to auto-match to a template once you’ve marked the edited file as Ready.
- If you’ve worked in other royalty systems, you may be used to creating and editing templates separately from sales file processing. However, this process can lead to data integrity issues.
- If a file is processed using Template A and reported in a royalty calculation, and then edits are made to Template A, you’ve now lost your record of exactly how that file was processed.
- Tone eliminates this issue. In addition to storing templates at the individual file level, Tone will “lock” sales files for editing once they’ve been used in a royalty calculation. You can continue to resolve unmapped sales lines and unreported sales, but will not be able to make any edits to the Cleaned Data once the file has been reported.
🛠️ Building Your Template
You are now in the Template Builder. This tool lets you create and manage your own sales file templates, ensuring your raw data is imported and processed consistently.
- The Original Data tab displays the raw file data (no need to keep the file open in another tab!)
- The Cleaned Data tab is where you will tell Tone how to process this file
Configure Original Data Structure
In the Original Data tab, you define the physical structure of the file:
- Specify the Header Row: Enter the row number containing the column headers.
- Specify the First Data Row: Enter the row where the actual sales data begins.
The live preview will update to reflect your configuration settings and grey out any rows that will be excluded from processing.

Time-Saving Tip: If you’ve already configured other sales files from the same Source with the same column headers, you can use the "Copy Set Up" feature to apply an existing template before proceeding.

🗺️ Mapping & Normalization
Standard Tone Columns
- Next, navigate to the Cleaned Data tab. Here, you will normalize the data by mapping your original columns to Tone's standard fields.
